The Formstack alternative with documents, e-signatures and approvals in one record
Formstack is genuinely good at what it is for: an enterprise suite of forms, documents and signatures run by an IT team and wired into the systems a large company already owns. If your process lives inside the company and everyone in it holds a licence, it may well be the right choice. Teams come here when the participants are outside — clients, applicants, brokers, vendors — and paying a seat for each of them is the wrong shape for the work.
The usual triggers
Three reasons people search for this page
Not adjectives — each one is a difference in mechanism, and each is checkable in behaviour before you commit anything.
-
The licence
A suite priced by the people who use it treats every reviewer, approver and partner as a seat — right for an IT-run internal process, the wrong shape for intake where the participants are outside the company. Faldaro prices the team and never the audience: submitters, approvers deciding from their inbox, signers and portal users are never seats, and submissions are never billed by count.
-
The suite
Forms, documents and signatures sold as separate products connected by workflow means three places for the truth to live and an integration between each. In Faldaro they are one record: the document generates from the submission when its state changes, the signature request freezes and fingerprints that exact document, and the outcome lands on the record as a value a transition can gate on.
-
The front door
An enterprise suite is built inward-facing first; the public form is one deployment target among many. Faldaro’s public surface is the most designed part of the product: tokenized, revocable links; every refusal an identical not-found; throttles and captcha; a tracking link per record; translations served one locale at a time so the tables never ship.
The full category-level comparison — every mechanism, side by side — is on the why Faldaro page.
Switching
Moving is an afternoon, not a project
The form rebuilds itself from a description or a PDF, and your submission history arrives as records — states and reference numbers included.
-
1 Rebuild the form
Describe it to the AI assistant and it builds a working, editable draft — or upload the PDF the process runs on and the agent turns that into one. Logic and calculations are wired in the same conversation, and nothing publishes until you say so.
-
2 Bring the history
Export your submissions as CSV and import them: columns map to your fields by header, reference numbers survive the trip, workflow states come across, and every imported record is marked as imported in the audit log. Nothing replays — no notifications fire, no integrations trigger.
-
3 Open the door
Issue the public link and send it to anyone. Public links are tokenized, so the form id cannot be guessed or walked — and a link that spreads too far is revoked by rotating it, not by taking the form down.
Fair questions
Our procurement runs a security review. What can you show?
The security page, mechanism by mechanism: tenant isolation enforced by PostgreSQL row-level security with the service refusing to start if the policies would not apply; an audit log that is append-only because the database revoked update and delete from the application role; every calculated value evaluated on the server; author-supplied patterns and report queries run under a budget. Each claim is checkable in behaviour, and security questionnaires are answered directly, in writing, from the same register — nothing is claimed that paper does not back.
We run Salesforce. Is Faldaro a fit?
Faldaro is not a Salesforce forms product and will not pretend to be one. It connects outward: signed webhooks on every transition, Zapier, and an API with keys scoped to explicit privileges. If your process lives inside Salesforce and the form is a data-entry surface for it, a Salesforce-native tool is the honest choice. If the process starts with outsiders and Salesforce is where the outcome eventually lands, the webhook is the seam.
Can approvers, partners and clients work without licences?
Yes — that is the shape of the product. Approvers decide from an emailed link with no account. Signers sign from a link, with the document frozen and fingerprinted before it is shown. Submitters track their own record through a status link or a portal reached by a magic link mailed to their own address. Partner firms are organizations of their own: share a form or folder with them, their submissions stay theirs, and only you can change the form.
What does the free plan include?
Unlimited forms, ten thousand submissions a month, the same logic and calculation engine as every paid plan, public links, PDF documents, email notifications, and payment collection with a three percent platform fee. Paid plans remove the fee and the “Powered by Faldaro” line, and add seats, integrations, e-signatures and more — the pricing page lists exactly what each tier grants.
Stop licensing your audience
The free plan includes unlimited forms, ten thousand submissions a month and the same engine as every paid plan — and nobody who submits, approves or signs is ever a seat.
No card required.
