Client intake that ends signed and paid
For firms and agencies, intake is not a form — it is the stretch between “we should work together” and a signed letter with a retainer behind it. On Faldaro that stretch is one record: the questionnaire, the documents, the generated letter, the e-signature and the payment, moving through states your practice named.
-
One form instead of an email thread
Conditional fields mean a new engagement and a returning client answer different questions — and required documents are uploaded into the record, not attached to message four of nine.
-
From inquiry to engaged, as states
Inquiry, Conflicts check, Proposal sent, Engaged — whatever your intake actually says. Moving a matter is a separate, permissioned act from editing it, and each move can notify, generate the letter, or request the signature.
-
The letter writes itself
A document template merges the client’s answers into your engagement letter or proposal as a PDF — generated by a workflow move, not assembled by hand from the last one.
-
A record you can answer for
Who opened the matter, who cleared conflicts, when the letter went out, what was signed and when the retainer landed — an append-only audit log keeps the history a professional practice has to be able to produce.
Built from the same parts as everything else: the builder, workflows and documents & payments for the letter and the retainer.
Questions
Intake on Faldaro, plainly
Do clients need an account to fill in the intake form?
No. Publish a public link — an unguessable token you can rotate — and the client sees only the form: never your review states, internal fields or the pricing logic behind a computed fee. File uploads work without a sign-in, so the documents arrive attached to the record instead of in a separate email.
Can the engagement letter be signed in the same flow?
Yes, on the Team plan and above. A workflow move requests the signature: the client gets their own tokenised signing link, the document is frozen and fingerprinted before anyone signs, and the evidence — what was shown, what happened, when, from where — lands in rows the application role cannot delete. A transition can then gate on the signature, so nothing proceeds unsigned.
Can I take a retainer or deposit at intake?
Yes. A rule prices the payment from the client’s own answers — matter type, scope, urgency — and the server computes that amount itself, so the page cannot be tampered into a discount. Anything gated on payment waits until Stripe confirms the money actually arrived.
What happens to intake that still arrives by email?
Give the form its own address and forward the message: it becomes a submission with the attachments attached, the sender verified, and the workflow fired — same queue, same states, no retyping. Inbound email is a Team-plan feature, and only senders you allow-list are accepted.
